Terms and Privacy

Consent: FortuneDown is an internal system of Fortune Foods UK LTD. By accessing, browsing, or signing in to this system, you confirm that you have read and agree to these Terms of Use and this Privacy Policy. If you do not agree, do not use FortuneDown.

Terms of Use

1. The system

FortuneDown is a private status, alerting, and security console for Fortune Foods systems. It is not a public website, a consumer service, or a marketplace. It is provided only to authorised staff so they can see whether monitored services are up, receive outage alerts, and review access logs.

2. Who may use it

You may use FortuneDown only if all of the following are true:

You are a current employee or other person expressly authorised by Fortune Foods UK LTD
You have an active FortuneVantage account with a permitted role (admin, sales, or manager)
You are using the system for legitimate company business

We may suspend or revoke access at any time, including when your employment or authorisation ends.

3. Your responsibilities

Keep your username and password secret. Do not share them.
Sign out when you leave a shared or unattended device.
Use only the access you have been given. Do not probe other accounts, monitors, or mailing lists.
Treat outage details, internal URLs, and audit logs as confidential company information.
Report suspected misuse or a lost device to an administrator promptly.

4. Prohibited use

You must not:

Access FortuneDown without authorisation, or help someone else do so
Attempt to bypass authentication, monitoring, or other security controls
Scan or probe the service except as part of authorised security testing
Alter, delete, or hide audit records
Use the mailing list or monitors for anything other than company operations
Copy, publish, or send status data, recipient lists, or logs outside the company without permission

Unauthorised access may be a criminal offence under the Computer Misuse Act 1990 and may also lead to disciplinary action, including dismissal, and civil claims.

5. No warranty

FortuneDown is an operational tool. Status checks, latency figures, and alerts are provided as-is. They may be delayed, incomplete, or wrong. Do not treat the dashboard as the sole basis for safety, legal, or customer commitments. We may change, interrupt, or withdraw the service without notice.

6. Changes

We may update these Terms and the Privacy Policy at any time. The dated version on this page is the current one. Continued use of FortuneDown after a change is acceptance of the updated terms.

Privacy Policy

Fortune Foods UK LTD is the controller of personal data processed in FortuneDown. We handle that data under the UK GDPR and the Data Protection Act 2018. Using this system is agreement to these terms; the legal bases below are what UK GDPR actually requires for the processing itself.

1. What we collect

Depending on how you use the system, we process:

Account data from the company directory used to sign you in (username, role, and whether the account is locked). FortuneDown does not keep a separate copy of your password
Session data needed to keep you signed in
Audit and security data: what happened, when, which account (if any), a network identifier, and limited technical context such as browser and page. Sensitive fields are protected at rest
Alert recipients on the internal outage list (address and who added it), stored in a protected form
Operational data about monitored systems (names, checks, incidents). This is about services, not people, unless a note happens to include a name

We do not use FortuneDown for marketing to the public, and we do not sell personal data.

2. Network identifiers

Addresses used to reach this system are personal data. When a user is signed in, we retain the full address in the protected audit log for account security and investigation. For requests without an authenticated session, including failed sign-in attempts and automated probes, we obfuscate the host portion before storage (for example, 192.0.2.xxx) under UK GDPR Art. 5(1)(c) data minimisation.

An obfuscated address is pseudonymised, not anonymous. Together with other information and time it may still identify someone, so it remains personal data and is protected at rest. We do not use addresses for marketing, advertising, or profiling.

3. Why we process it

Legal bases under UK GDPR Art. 6:

Legitimate interests (Art. 6(1)(f)): running an internal status page, keeping the service secure, investigating abuse, and sending operational outage mail to staff on the list. Staff reasonably expect security logging on an internal admin tool; we minimise unauthenticated network identifiers by masking their host portion
Contract / employment administration (Art. 6(1)(b)) where access is part of your role
Legal obligation (Art. 6(1)(c)) where we must retain security records or respond to a lawful request

We do not rely on consent (Art. 6(1)(a)) for security logs. Agreeing to these terms by using the system is separate from that. You can stop using FortuneDown and ask an administrator to remove your access.

4. Cookies

FortuneDown uses a strictly necessary session cookie to keep you signed in, plus protections on forms. These cookies are not used for advertising or analytics. The session ends when you sign out or after a short period of inactivity.

5. Who we share data with

Personal data stays inside Fortune Foods except where we use specialist providers to host the service, store data, or send operational email. Those providers act on our instructions. We may also disclose data to the police, regulators, or professional advisers where the law requires or allows it. Any international transfer is made with UK GDPR safeguards (Art. 44–49).

6. Retention

Sign-in sessions last only while you are using the system
Short-lived security counters (for example repeated failed sign-ins) are dropped once they are no longer needed to protect the service
Operational status history is kept briefly
Audit logs, recipient lists, and monitor configuration are kept only for as long as needed for security, operations, or legal claims, then deleted or anonymised

7. Your rights

You may ask for access, correction, erasure, restriction, objection, or data portability (UK GDPR Arts. 15–21). Some rights are limited where we must keep security logs or the data is needed for legal claims (Art. 17(3), Art. 21(1)).
